The verdict

Nextiva is a good value small business phone system if you sign its 12-month term: NEXT Core is $15 a user a month and comes with business texting, basic CRM and ticketing, and a starter allowance of AI transcripts. The value drops sharply month to month, where Core is $23 and Engage doubles to $50. Its AI agent, XBert, is billed per conversation, which suits businesses that want to pay only when the AI does work.

What each Nextiva plan includes

NEXT Core, $15

Unlimited voice and video, 100 business texts per user, team collaboration, skills-based routing, basic CRM and ticketing, shared inboxes, and 50 each of AI transcriptions, summaries and answer-assist conversations (Nextiva).

NEXT Engage, $25

Adds live chat and a chatbot, 500 texts per user, a toll-free number with 2,000 inbound minutes, three shared inboxes, single sign-on, virtual fax and 200 of each AI action (Nextiva).

NEXT Scale, $75

Adds unlimited texting, 10,000 toll-free minutes, directory sync, a dedicated onboarding team, supervisor monitoring and unlimited AI (Nextiva).

XBert AI Employee, $99 a month

An AI voice agent sold on its own for teams that already have a helpdesk, in packages starting at 100 conversations a month; Nextiva says it handles phone, chat and text (Nextiva).

More than calls: the customer tools on Core

Nextiva sells itself as a customer experience platform, and the entry plan shows it. Alongside calling and video, NEXT Core lists team collaboration, skills-based routing (sending a call to the person with the right skill), a basic CRM and ticketing system, shared team and personal inboxes, and a CX Journey Builder (Nextiva). Engage adds live chat and a chatbot, so web chats land in the same place as calls. For a small business that would otherwise pay for a separate helpdesk, those tools are part of the value.

Which businesses Nextiva fits best

Service businesses with a support desk

Tickets, shared inboxes and routing on Core replace a separate helpdesk for small teams.

Businesses with a toll-free line

Engage bundles a toll-free number and 2,000 inbound minutes.

Sales and service teams

Scale adds supervisor monitoring, unlimited texting and unlimited AI.

Teams testing AI agents

XBert at $1.50 a conversation lets you pay only for calls the AI handles.

List price per user times 5, before taxes, fees and add-ons. Annual prices need a 12-month term.

Nextiva shows "Save 35%" on Core and "Save 50%" on Engage for annual pricing, and the arithmetic matches: $15 vs $23, and $25 vs $50. Moving five people from Core to Engage adds $50 a month on annual pricing but $135 a month on monthly billing. Scale is the same $75 either way.

The catch is the term. Nextiva's footnote says annual small business pricing "applies to new customers with 1–100 employees signing a paid 12-month or longer minimum term agreement" (Nextiva).

Nextiva lists the AI counts on each plan card without saying whether they are per user or per account; the 5-user row assumes per user. XBert per-conversation price is on every plan card (Nextiva).

At $1.50 per conversation, the $99 XBert AI Employee costs the same as about 66 conversations. If you expect more than that each month, ask Nextiva how its packages are priced above 100 conversations.

Texting and toll-free minutes in practice

Nextiva lists texting per user: 100 business texts a month on Core and 500 on Engage. A ten-person team therefore has 1,000 texts a month on Core and 5,000 on Engage, if the allowance is counted per user as the plan cards state. Toll-free works differently: on Core it is an add-on, Engage includes one toll-free number with 2,000 inbound minutes, and Scale three numbers with 10,000 (Nextiva). A business that advertises a toll-free number and expects more than a few hundred calls on it should price Engage rather than Core plus the add-on.

Where Nextiva is strong

  • Low annual entry price. $15 a user for calling, video, texting and basic CRM.
  • More than a phone system. Shared inboxes, ticketing and skills-based routing come on Core.
  • Pay-per-use AI. XBert is billed when used, at $1.50 a conversation.
  • Support and exit. "All plans include 24/7 customer support" and "Cancel anytime" (Nextiva).
  • Toll-free bundled from Engage. A number and 2,000 inbound minutes are included.

Where Nextiva falls short

  • Monthly billing is expensive. Engage costs $50 a user month to month.
  • Toll-free and fax are add-ons on Core (Nextiva), and add-ons "may involve setup, licensing, or usage fees."
  • AI caps on Core. 50 transcriptions and 50 summaries will not cover every call for most teams.
  • Texting caps. 100 texts per user on Core, 500 on Engage.
  • Desk phones cost extra. "The devices themselves are purchased separately" (Nextiva).
  • No self-serve trial on the pricing page. Plans show "Get a Demo" buttons.

Is Nextiva worth it?

On annual pricing, yes for most small teams: Core undercuts RingCentral by $5 a user and includes four times the texting allowance. On monthly billing, the case weakens, and Engage at $50 is hard to justify against other systems. Before you sign, count your texts and toll-free minutes, and decide whether XBert's per-conversation price fits your call volume.

Who should skip Nextiva

  • Teams that will not sign a 12-month term: monthly prices are $8 (Core) and $25 (Engage) a user higher; Scale costs the same.
  • Solo owners who only need a business number on their cell; a per-account plan such as Grasshopper costs less.
  • Teams that want AI to answer a few calls at no extra cost: Quo includes 10 AI-answered calls a month.
  • Offices that want to try before they buy without a sales call; Nextiva's plans show demo buttons.
