RingCentral Review: Is RingEX Right for Your Small Business?

RingCentral RingEX is a strong, full-featured pick for teams that want calls, texts and meetings in one app, especially with Microsoft Teams or several sites. Core costs $20 a user paid annually or $30 monthly. Downsides: Core includes only 25 SMS per user a month, and the AI Receptionist is an add-on from $39.

The verdict

RingCentral RingEX is the safe, full-featured choice for a small business that wants one system for calls, texts and meetings, especially if the team works in Microsoft Teams or across several sites. It is not the cheapest: Core is $20 a user paid annually and $30 monthly, and the entry plan's texting allowance is small. Pick it for breadth and integrations; look elsewhere for a low price per head or heavy texting.

Per user per month paid annually, from RingCentral's pricing page, November 2, 2026. AI Receptionist is an add-on on all three.

Core covers the basics most small offices need: unlimited domestic calling, on-demand call recording, video meetings for up to 300 people and the AI Virtual Assistant (RingCentral). Advanced is the plan for growing firms: CRM integrations, multiple sites and core reporting (RingCentral). Ultra adds bigger toll-free and SMS allowances, RingCentral Webinar and unlimited storage (RingCentral). Each step costs $5 to $10 more per user.

AI on RingCentral

Every plan lists the AI Virtual Assistant (AVA) as included. The AI Receptionist (AIR) is an add-on that RingCentral lists as "Starts at $39," without stating on the pricing page what the price covers (RingCentral). RingCentral says AIR can "Answer calls 24/7 with AI" and "Handle FAQs, texts, appointment scheduling, and lead capture" (RingCentral), works in multiple languages and is trained on your website or documents (RingCentral). The AI Customer Engagement Bundle, which includes AIR and AI Conversation Expert, is priced by quote (RingCentral). For how this compares with other systems' AI, see AI phone systems.

From the pricing page. The page does not say whether these prices are per user or per account; ask before you add them. Taxes and fees are extra: RingCentral lists a Federal Universal Service Recovery Fee, an E911 Service Fee and state and local taxes without amounts.

What every RingEX plan includes

Core is the base for the other two plans, so these come on all of them: unlimited domestic calling, on-demand call recording, HD meetings for up to 300 participants, the AI Virtual Assistant, and what RingCentral lists as "LLM plugins & MCP connectors" (RingCentral). The plan pages call the higher tiers "Everything in Core PLUS" and "Everything in Advanced PLUS."

Which businesses RingCentral fits best

Professional services

Firms that live in Microsoft Teams and a CRM get calling inside Teams and CRM integrations on Advanced.

Multi-location businesses

Advanced connects multiple sites and adds reporting, so branches share one system.

Toll-free heavy sellers

Ultra's 10,000 toll-free minutes suit businesses that advertise a toll-free line.

Teams that want AI answering

Any plan plus the AI Receptionist add-on, or the quote-priced AI Customer Engagement Bundle.

What five people pay

PlanPaid annually, per monthPaid monthly, per monthAnnual billing, per yearTexting, team total a month
Core$100$150$1,200125 SMS
Advanced$125$175$1,500500 SMS
Ultra$175$225$2,1001,000 SMS

Price per user times 5, computed with the same code as our pricing calculator; SMS is the per-user allowance times 5. Before taxes, fees and add-ons.

Paying annually saves $120 a user a year on every plan, which is 33.3% of the Core monthly price. A five-person team that texts more than 125 messages a month will outgrow Core's allowance; moving to Advanced costs $25 a month more for the team and raises it to 500.

RingCentral cost at other team sizes

Plan3 users (annual / monthly)10 users25 users
Core$60 / $90$200 / $300$500 / $750
Advanced$75 / $105$250 / $350$625 / $875
Ultra$105 / $135$350 / $450$875 / $1,125

Per-user price times team size, per month, before taxes and fees. RingCentral's page has a 1 to 5, 6 to 100 and 100+ user selector (RingCentral); these are the prices it shows by default, so ask whether your band changes them.

The AI Receptionist in practice

RingCentral pitches AIR as an always-on front desk that can "answer every call, set up appointments, and collect new leads" (RingCentral), and says it "now answers text messages" (RingCentral). You train it on your website, FAQs or documents, and it can switch languages mid-conversation and hand complex calls to your team with a call summary (RingCentral). Because it is an add-on that RingCentral says works "on any phone system," you can also add it without moving the rest of your phones.

Where RingCentral is strong

  • Breadth in one app. Calls, texts and meetings for up to 300 people on the entry plan.
  • Integrations. RingCentral claims over 600 integrations and "the richest calling experience in Microsoft Teams" (RingCentral).
  • Reliability record. RingCentral cites "a 5-year record of 99.999% availability in 46 countries" (RingCentral); treat it as the company's claim and ask for the service-level terms.
  • Room to grow. Multi-site support and reporting on Advanced, and a contact center (RingCX) above that.
  • AI on every plan. AVA is included from Core.

Where RingCentral falls short

  • Price per user. Core paid monthly is $30 a user, $10 more than paying annually.
  • Small texting allowance on Core. 25 SMS per user a month (RingCentral).
  • AI Receptionist costs extra. It is an add-on on every plan.
  • Add-on pricing is unclear. Add-on prices appear without a billing unit.
  • Desk phone rental needs a multi-year contract (details on RingCentral pricing).
  • Trial limits. RingCentral's page conflicts on the trial size (up to 20 lines in the FAQ, five users and two desk phones in the disclaimer), and SMS is not available during the trial.

Is RingCentral worth it?

For a business that will use the meetings, integrations and multi-site tools, yes: you get one vendor for most communication. For a small team that mainly needs calls and plenty of texts, the same money buys more texting elsewhere, and Quo or Nextiva start $5 a user cheaper on annual billing. Decide on billing first: paying monthly adds $10 a user a month on every plan.

Switching to RingCentral, step by step

  1. Choose the plan from your texting and toll-free needs, then pick annual or monthly billing.
  2. Start the 14-day trial if you are a new subscriber; texting is not available during it.
  3. Move your numbers: RingCentral offers to "Add on stress-free migration services" with "tailored assessment, installation, and support" (RingCentral). Keep the old service running until they move.
  4. Build the auto attendant, call groups and business hours in the admin portal.
  5. Register a 911 address for every location and remote user.
  6. Register for business texting before you send SMS to customers.

Questions to ask RingCentral

  1. Are the add-on prices per user or per account, and monthly or annual?
  2. How many SMS does our team send a month, and which plan covers it?
  3. Which user band (1 to 5, 6 to 100, 100+) are our quoted prices for?
  4. What will the first bill show in taxes and fees for our users?
  5. If we rent desk phones, what is the contract length and early exit cost?
